Use Zimbra to send huge files

As I showed in a previous hint, if you have an account in an instance of Zimbra Collaboration Suite, you can share any of your existing folders to other accounts hosted in the same Zimbra instance.

You can use the briefcase feature in the Zimbra Collaboration Suite to share large files, instead of using an external service like Rapidshare or Yousendit. The file size limit for your account is set by whomever set up that instance of Zimbra, so iff you're not sure of the quota size on your Zimbra account, ask your system administrator.

First you need to create the shared folder:

Click on the Briefcase tab in Zimbra.

Click on "New Briefcase" above the list of existing folders.
  • Name it whatever you like, it only matters for your own reference. Change the color of the folder if you wish, as well.
  • I suggest making sure that "Folders" is highlighted when you create it, otherwise it will be a subfolder of whichever briefcase you had been looking at previously


Right-click on the name of the new folder once you've created it, and select "Share Folder."

You have two options for sharing with external users. "External Guest" requires the recipient's email address and a password you will give them to log in. "Public" is not password protected and is wide open to anyone who discovers the address of the folder.

Now, just upload a file there, using the Zimbra interface.

Once you have a file in that folder, you can click on "Send" to the right, to compose an email in the Zimbra web client, which auto-populates URL to the file in the body of the message. You don't need to actually send the message from the Zimbra web client, but it'll create the URL you can just copy and paste into your email client of choice.

I've used this method to share 80-100 MB files with folks in the past, but I also use it as a repository internally at work for "how to" PDFs for common issues.
